Payment Requirements

  • All student account balances must be paid in full or secured by financial aid by the semester due date.
  • Accounts not paid or secured may be subject to cancellation. 

Understanding Your Bill

Financial Aid (Longwood)

  • Estimated aid (loans, grants, scholarships) shows only if all paperwork is complete and processed.
  • If aid is missing:
    • Contact the Office of Financial Aid immediately.
    • If aid won’t secure your account by the due date, pay in full to avoid late fees.
  • Overpayments will be refunded or applied to future charges.

Outside Scholarships

  • Must submit official notification (on awarding organization letterhead) before the billing date.
  • Funds must be sent directly to Longwood.

  • To use VA529 funds, request a distribution through your plan administrator.
  • Payments must be sent directly to Longwood University.
  • Plan disbursements should be requested well before the billing due date to ensure funds arrive on time.
  • If funds will not reach Longwood before the deadline, you must pay your balance in full to avoid late fees.

Employer Tuition Assistance

  • Credit applies only if an Authorization for Tuition Assistance is received before billing.
  • Employer must pay Longwood directly (not reimburse you).
  • If partial, you must pay the remaining balance by the due date.

Military Tuition Assistance

  • DoD Tuition Assistance (Army, Navy, Marine Corp, Air Force, Coast Guard):  Prior to course/semester payment due date, student should submit Tuition Assistance Authorization(s) to Office of Student Accounts. For general guidance please visit Longwood's VMSDEP and Chapter 35 Benefits page.
  • Virginia Army National Guard (VANG) – State Tuition Assistance Program (STAP):  Student must apply for Tuition Assistance (TA) through VANG.  Once TA is fully approved, VANG will provide a student roster to Longwood.  Longwood will post estimated third-party contract memo credit upon receipt of an official VANG approved STAP roster.  If student also utilizes DoD TA for same courses/enrollment period, federal TA will apply first, before STAP.
  • For a student utilizing military TA, the student remains responsible for payment of any remaining amounts due, in excess of approved TA limits.  Military TA typically pays only toward tuition, no fees.  In the event a student withdraws before course completion, the student may no longer be eligible for full TA funding as originally approved.  Please reference Longwood University DOD MOU - TA Return Policy and DoD Unearned TA Proportional Return Summary (pdf) for additional guidance related to course withdrawal.

State Agencies (DARS, DBVI, etc.)

  • An Authorization of Services form must reach the Office of Student Accounts before billing.
  • Out-of-state agency aid follows the same process.

State Waivers

  • VMSDEP: Request waiver through the Virginia Department of Veterans Services (DVS) confirmation sent to Longwood. For each new semester during which a VMSDEP-eligible student wishes to utilize available benefits, the student must log into (DVS) VMSDEP Portal to add semester enrollment to school roster.  Longwood will pull school roster updates from the VMSDEP portal.
  • Senior Citizen Waiver: Visit Registrar’s Office, show VA driver’s license, complete waiver form, and (if course(s) will be taken for academic credit) provide last year’s tax return.
  • LODA:  Chief executive officer of the deceased individual’s qualified employer must provide a verification letter to certify the line of duty death and eligibility for LODA benefits.  Please reference Longwood University’s LODA Program Overview (pdf).

Scholarship Timing

  • Division of funds: Unless otherwise stated, scholarships over $100 are split between fall and spring.
  • Awards after billing:
    • Send official notification to Financial Aid.
    • Confirm if award affects existing aid.
  • Do not reduce payment unless Financial Aid confirms—otherwise late fees may apply.
